01 / Maintenance and Support
Plan for the responsibilities that follow launch.
Digital systems operate in a changing environment. Software dependencies evolve, third-party services change and new compatibility or security issues emerge.
A structured maintenance arrangement gives your organisation a clear route for addressing these requirements. It also provides visibility of work completed, outstanding issues and changes that need a separate decision.
We begin by understanding the platform and its operating condition, then define a service that reflects its technical requirements and business importance.
02 / Maintenance and Support
What we support
01Software and dependency updates
Maintain the agreed software components behind your platform.
We assess and apply relevant updates within scope, considering compatibility, supplier support and the effect on existing functionality.
Where appropriate, updates are checked in a test environment before release. Significant version upgrades or changes requiring substantial redevelopment are assessed separately.
02Fault investigation and correction
Provide a structured response when supported functionality does not work as expected.
We investigate reported issues, assess their effect and identify the appropriate corrective action. Where another provider is involved, we coordinate the technical information needed within our agreed responsibilities.
The treatment of a fault depends on the service scope and any applicable warranty.
03Compatibility checks
Review the platform against its agreed operating environment.
Checks can cover supported browsers, devices, operating systems and connected services. Where an external change affects compatibility, we assess the implications and recommend the necessary action.
The supported versions and environments are identified in the service agreement.
04Performance reviews
Identify technical issues affecting the user experience.
We review agreed indicators such as page responsiveness, application errors or resource usage. Findings help determine whether the appropriate response is routine maintenance, infrastructure adjustment or separately commissioned development.
05Technical monitoring and issue coordination
Maintain visibility of agreed system indicators.
Where commissioned, we review alerts and coordinate action on issues affecting supported services. Monitoring coverage, staffed response hours and escalation responsibilities are specified separately.
Automated alerts may operate outside support hours; the service agreement determines when a person will review and respond to them.
06Maintenance records and service reporting
Give your organisation a clear view of continuing technical work.
We record relevant updates, reported incidents, corrective actions and outstanding recommendations. Recurring service reports summarise activity at the agreed frequency and identify decisions needed from your team.
03 / Maintenance and Support
How support requests are handled
011. Report the issue
Your authorised contact submits the request through the agreed support channel, describing the affected service, observed behaviour and business impact.
022. Assess and prioritise
We review the available information and assign a priority according to the agreed criteria. The assessment considers service interruption, affected users, operational consequences and available workarounds.
033. Investigate and coordinate
We investigate within the service scope, request any necessary information and involve relevant providers where the issue depends on their systems.
044. Restore or resolve
We implement an appropriate correction or workaround where authorised. Changes requiring additional work, expenditure or client approval follow the agreed decision process.
055. Confirm and record
We check the result, communicate the outcome and record any follow-up action. Significant or recurring incidents may require a further review to address their underlying cause.

Support commitments matched to your service.
Your organisation should understand what support covers and when it is available.
Each agreement defines:
- The websites, applications, environments and components supported.
- Service hours, time zone and holiday coverage.
- Authorised contacts and support channels.
- Incident priorities and applicable response commitments.
- Escalation routes and communication arrangements.
- Routine maintenance activities and planned maintenance windows.
- Dependencies on client teams and third-party providers.
- Additional-work approval and charging arrangements.
A response commitment establishes when a request will be acknowledged or assessed under the agreement. Resolution time depends on the issue, access, dependencies and corrective work required; any restoration or resolution targets are stated separately.
Extended-hours or specialist support is agreed only where the necessary coverage has been established.
05 / Maintenance and Support
Maintenance and improvement have distinct purposes.
01Maintenance
Preserves or restores agreed functionality through activities such as supported updates, fault correction and routine technical care.
02Improvement
Introduces new capabilities or materially changes the platform. Examples include additional integrations, substantial redesigns, new workflows and major migrations.
We identify which category a request falls into before committing additional work. Where correction is covered by an applicable warranty, it is handled under those terms without consuming a paid improvement allowance.

Taking over an existing platform.
Before accepting ongoing responsibility for a system developed elsewhere, we assess its condition and the information available.
The review may cover source code, administrative access, documentation, software licences, hosting, dependencies and known faults. It also identifies unsupported components and any immediate remediation required.
Following the assessment, we propose the supported scope, transition actions and any limitations that need to be addressed.
This gives both parties a clear starting point for the service.

Coordinated with cloud and recovery services.
Application maintenance, infrastructure management and backup operations are closely connected, but each requires a defined owner.
Where Greenovus provides several services, we coordinate these responsibilities within the agreed operating plan. Where another provider manages hosting or recovery, we establish the relevant contact and escalation arrangements.
Backup management, restoration testing and recovery activity are included only where commissioned and assigned in the service scope.

A clearer view of your platform’s condition.
Depending on the service commissioned, your organisation receives:
- A record of supported systems and software components.
- An agreed maintenance schedule.
- Incident and change records.
- Summaries of completed updates and checks.
- Outstanding technical risks and recommended actions.
- Details of work awaiting information or approval.
- Regular service reports and review discussions.
Recommendations distinguish immediate corrective work from longer-term improvements, helping your organisation prioritise expenditure.

Connect ongoing care with planned improvement.
The Greenovus Digital Partnership brings agreed maintenance and operating services together with a prioritised improvement programme.
It provides a coordinated relationship for managing current responsibilities while planning the changes your organisation needs next.
